Tahoe Trust Company, a well-established organization in Nevada formed in 2003 undergoing an exciting transition from a family trust company to serving as a retail trust company, and its related entity, WoodTrust Bank in central Wisconsin, are seeking a highly organized and experienced Trust Operations Officer to join us in a unique dual-state role. THE OPPORTUNITY

As a Dual-State Trust Operations Officer, you will provide crucial administrative support to trust officers in both the Nevada and Wisconsin entities. This role requires a highly organized individual capable of managing tasks and priorities across state lines, contributing to the smooth operation of trust and estate administration in both jurisdictions. You will play a key role in supporting the Nevada company’s transition to a retail trust company while also assisting with ongoing administrative needs in Wisconsin. 


RESPONSIBILITIES

Your responsibilities will be split between Nevada and Wisconsin Operations and will include:

  • Provide comprehensive administrative support to trust officers in both the Nevada and Wisconsin entities.
  • Assist with the onboarding of new clients in Nevada and the establishment of new accounts in both states.
  • Process and file a variety of legal and administrative documents, including trust agreements, accountings, inventories, and distribution schedules, adhering to the specific requirements of each state.
  • Maintain accurate and organized client files, both physical and electronic, ensuring compliance with the regulatory standards of Nevada and Wisconsin.
  • Facilitate communication between trust officers, clients, beneficiaries, financial institutions, legal counsel, and other relevant parties in both states, ensuring a high level of client service.
  • Track critical deadlines, manage calendars, and ensure timely completion of administrative tasks in accordance with the procedural requirements of each state.
  • Assist with the preparation of account reviews, tax filings, and regulatory reports relevant to trust administration in both Nevada and Wisconsin (as applicable).
  • Process distributions, payments, and receipts with accuracy and efficiency for both entities.
  • Contribute to the development and implementation of new administrative procedures and workflows, particularly in support of Nevada’s transition to a retail trust company.
  • Assist with special projects and initiatives as needed by both the Nevada and Wisconsin trust companies.
  • Provide general office support/management, including phone management, scheduling, and document management for both entities.
  • Foster a positive and collaborative team environment across both locations.


QUALIFICATIONS

  • Must be a Nevada state resident.
  • Minimum of 3 years of previous experience as a Trust Operations Officer or similar role within a trust company, bank trust department, or law firm specializing in trust and estates.
  • Thorough understanding of trust and estate principles, terminology, and administrative processes, with the ability to apply knowledge to the specific legal frameworks of both Nevada and Wisconsin.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with trust accounting software is highly preferred.
  • Exceptional organizational skills, entrepreneurial spirit, high level of integrity, meticulous attention to detail, and the ability to manage a high volume of work across two distinct entities.
  • Proven ability to prioritize tasks, meet deadlines, and work independently with minimal supervision while coordinating with teams in two locations.
  • Excellent written and verbal communication skills, with a strong focus on client service and professional interaction across state lines.
  • Ability to handle confidential information with discretion and maintain the highest ethical standards in both Nevada and Wisconsin.
  • Ability to work independently and as part of a team in a dynamic, entrepreneurial environment.
  • Strong sense of initiative and a proactive approach to problem-solving.
  • Familiarity with Nevada trust laws and regulations is essential.
  • Familiarity with Wisconsin trust laws and regulations is desirable.
  • Experience assisting with the transition or expansion of trust services is a significant plus.
  • Ability to adapt to different state-specific requirements and procedures
